Handle a message your Receptionist left in Bookings.

When a call is not a booking, your Receptionist leaves a message card in Bookings. Call or text the customer back from the card, then press Mark done so the message leaves the list.

Steps

  1. Click Bookings in the menu. The red number next to it shows how many requests are waiting.
  2. Read the heading at the top of the card. It tells you why the customer called: Return visit, Call back, Wants a person, Emergency, Outside the area or Message. What the customer said is quoted underneath.
  3. Start with the cards outlined in red with a Call back tag. Someone there is waiting for a person.
  4. Press Call or Message to reach the customer.
  5. Once it is sorted, press Mark done.
  6. If the call turned into work, press Create job instead. On a Return visit card the button reads Create return job. The new job opens without a time, so set one on the job.
  7. Press Dismiss for a wrong number or spam.

Good to know

A line that starts with Called from means the customer asked you to use a different number from the one they called on. The number above that line is the one they gave.

The small line under the quote says how you were told about the message. If it reads Nobody was notified, this card may be the first you hear of it.

Mark done and Dismiss both remove the card for good. Use Mark done for anything you actually handled.

If Bookings shows a card with a See plans button instead of your requests, your current plan does not include this part.
