Getting started
Your first day in JobField, from setup to the first job.
- What should I set up first in a new account?Finish the welcome wizard, add your business phone number under Settings, and then create your first job.
- Can I watch how a job gets booked before I try it myself?Yes, the Dashboard of a new business has a Watch demo button that books a sample job in front of you without saving anything.
- How do I create my first job?Choose New job, enter the customer's name and phone, pick a job type and a start time, and choose Create job, and the customer record is created for you.
- How do I bring my customers and jobs over from Workiz, Housecall Pro or Jobber?Export your customers and jobs from your old CRM as CSV files, then upload them under Settings → Import data, where JobField detects the source and maps the columns for you.
- Will importing create duplicate customers?No, a row whose phone number already belongs to a customer in JobField is skipped, so importing never creates a duplicate customer.
- Where do I get help if I'm stuck?Open Settings → Help & Support to start a live chat with the JobField team, or email support@jobfield.app.
Jobs, schedule and dispatch
Booking work, assigning technicians, keeping customers informed.
- How do I assign a job to a technician?Pick the technician in the Assign tech field when you create the job, or drag the job onto that technician's column on the Schedule board.
- How do I text a customer from a job?Open the job, press Send SMS under Client, pick a quick template or write your own message, and press Send.
- How do I call a customer so they see my business number instead of my cell?Press Call customer on the job and JobField rings your own phone from your business number, then connects the customer, so the number they see is the business one.
- How do I send an estimate and get the customer to approve it?Build the estimate on the job's Estimates tab, press Send to text or email the customer a link, and the customer approves by typing their name and pressing Approve and sign.
- How do I add photos or notes to a job?On a computer, open the job's Attachments tab and press Upload, and on a phone the technician taps Attach for photos or Add note for a note the customer never sees.
- Why does a finished job still say scheduled?A job's status only changes when someone taps it, so a job stays Scheduled until the technician taps Done or you set the status yourself on the job page.
Getting paid
Card payments, invoices, refunds and payouts with JobField Pay.
- How do I turn on card payments?Open Payments and finish the Set up payments card, or use the Payments step of the welcome wizard, and JobField Pay is ready to take cards.
- How do I take a card payment on a job?Open the job, tap Collect payment, choose how the customer is paying, add a tip if they want one, then take the card, get a signature and send the receipt.
- How do I send an invoice so the customer can pay online?On the job tap Send invoice and choose Email or Text, and the customer gets a secure link where they can see the invoice and pay by card or bank transfer.
- Where does the money go after a card payment, and how fast?Card payments go to the bank account you added during setup, and the Payments page shows what is available, what is pending and every payout on its way.
- What does a card payment cost me, and can I pass the fee on or add tips?Settings → Payments shows your processing rate and accepted cards, lets you apply a credit card surcharge where the law allows it, and holds your tip settings.
- How do I refund a card payment?Open the job's Payments tab, tap Refund next to the card payment and confirm, and the full amount goes back to the customer's card.
Documents, price book and tax
Branding your invoices, saving your prices, setting sales tax.
- How do I put my logo and company info on invoices and estimates?Upload your logo and fill in your business details under Settings → Documents and they print on every invoice, estimate, receipt and work order.
- How do I set my sales tax rate, and do I tax labor?Enter your combined state and local rate under Settings → Tax & pricing and tick Tax service labor only if your state taxes labor.
- How do I save my standard services and prices so I don't retype them?Add your usual services, parts, fees and discounts under Settings → Price book and they become one-tap items when you build an invoice or estimate.
- How do I add my terms, warranty or a thank-you line to invoices?Type your terms and warranty and a footer thank-you line under Document text in Settings → Documents and they print on every invoice, estimate and receipt.
- How do I hide or reorder sections on my invoice or estimate?Under Document templates in Settings → Documents you can turn any block of an invoice, estimate, receipt or work order on or off and move it up or down.
- Can I set when invoices are due?Yes, choose your default payment terms and the date they count from under Preferences in Settings → Account.
Phone, texting and AI Receptionist
Your business number, texting, call flows and the Receptionist.
- How do I get a business phone number?On a computer, open Settings → Phone & texting, press Set up phone & texting, fill in your business details, and pick a number in your area code.
- Can I keep my existing business number?Get a JobField number, then ask your current provider to forward your existing number to it so your customers keep dialing the number they already know.
- I got a number but texting doesn't work yet. Why?Calls work at once, but texting waits on a one-time carrier registration that JobField files for you, and it turns on by itself once the carriers approve it.
- What happens when nobody answers the phone?Your call flow rings the people you chose in order and sends the caller to voicemail when nobody picks up, and with business hours on, callers outside them hear your closed greeting straight away.
- Can JobField text a caller back when we miss the call?Turn on the Call didn't become a booking automation under Settings → Automations, and a caller nobody picked up gets a text from your business number within minutes.
- How do I turn on the AI Receptionist?Set the Receptionist up under Settings → Your Receptionist, add a Receptionist step to your call flow after your team's phones, and press Enable Receptionist.
- Are my calls recorded, and where do I listen or read the transcript?Every call on your JobField number is recorded and the caller is told so, and you open Calls and press a call to play the recording, read the transcript, and turn the call into a job.
Automations, reviews and online booking
Reminders, review requests and letting customers book themselves.
- How do I let customers book online from my website?Settings → Online booking gives you a public booking link and ready-made code for a button or the full form, and every request lands in Bookings for you to review.
- Do online booking requests become jobs automatically?No, every request waits in Bookings for you to review, and one tap on Create job turns it into a job with the customer and requested time already filled in.
- How do I send automatic appointment reminders?Turn on the confirmation, day-before and one-hour reminders in Settings → Automations and JobField texts each customer from your business number at the right time.
- Can JobField text back people whose call we missed?Yes, turn on Call didn't become a booking in Settings → Automations and JobField texts the caller minutes after an unanswered call, with their reply landing in Messages.
- Will customers get reminded about unpaid invoices or estimates they haven't answered?Yes, turn on Estimate follow-up and Unpaid invoice reminder in Settings → Automations and the customer gets a text with the link 3 days later if nothing has happened.
- How do I ask customers for a Google review?Save your Google review link in Settings → Reviews, then text it from any job with the Review button or let the Review request after payment automation send it a few hours after the job is paid.
Team and roles
Inviting people and what each role can do.
- How do I add a technician or dispatcher?Open Settings → Team, press Invite member, fill in their email, name and role, and press Send invite to send them an invitation and get a link you can share yourself.
- What can an owner, admin, dispatcher, technician or viewer do?Owners and admins manage the business and the team, dispatchers run the day, technicians see only their own jobs, and viewers can look but not change anything.
- Can my technicians answer business calls on their phones?Yes, turn on In-app calls for that person under Settings → Team and add them as a Phone step in your call flow, and business calls then ring inside the JobField app on their phone.
- What do I do when my technician signs in and sees Tech profile not linked?JobField matches a technician to their Team row by the email they sign in with, so make the Email on their row match, keep the row active, resend the invite and have them sign in again.
- How do I remove someone who left the company?Under Settings → Team press the trash icon labeled Deactivate on their row and confirm, which ends their access right away while their jobs and history stay in place.
Technician app
Working from the phone: stops, payments, notifications.
- How does my technician get the app and log in?Invite the technician under Settings → Team, then they install JobField from the App Store and sign in with the email address the invite was sent to.
- How does a technician mark on the way, start and finish a job?On Home every stop has On the way, Start and Done buttons, and the technician taps them as the visit moves along so the office sees the job's status change.
- Can technicians collect payment in the field?Yes, the technician opens the job, taps Pay, and the Collect payment sheet takes the payment, a tip, the customer's signature and the receipt in one go.
- How do I use Tap to Pay on iPhone?An owner or admin presses Enable Tap to Pay under Settings → Tap to Pay on iPhone, and after that the payment sheet on any job in the JobField app on an iPhone offers Tap to Pay on iPhone with no card reader.
- How do I get notified about new jobs, texts and bookings on my phone?In the JobField app, allow notifications when your iPhone asks the first time you open it, and in a browser press Enable notifications on Home or at the top of Messages.
- Why can't I set up the phone number or call flows from my phone?Getting a business number, turning on texting and building call flows are done on a computer, so on a phone Settings → Phone & texting shows Manage phone on a computer instead of the tools.
Reports, dashboard and map
Your numbers for any period, what the dashboard counts, and the map.
- How do I see reports for previous months?Open the report, pick Last month or another period from the period list, or pick Custom range and set the first and last day, then click Apply.
- What does each report show?Reports has seven screens, with Sales for money collected, Payouts for bank deposits, Jobs for scheduled work, Payments and Invoices for invoices, Estimates for quotes and Call tracking for calls.
- How do I see sales or jobs for just one technician?On the Sales or Jobs report, pick the technician's name from the All technicians list and click Apply, and the report then covers only the jobs assigned to that technician.
- How do I download a report as a spreadsheet?Open the report, pick the period and click Apply, then click Export CSV next to the report name to download a file that opens in any spreadsheet program.
- Where do I see tips and technician commissions?Tips appear on the Sales report in the Tip column and the Tips total, while technician commissions are not worked out by JobField today, so the Sales report has no commission figure.
- Where can I see all the deposits sent to my bank?Reports → Payouts lists each deposit JobField Pay sent to your bank with its arrival date, status, bank and amount, plus the total deposited and the money still on its way.
- What do Today, Scheduled today, In progress now and Done today mean on my dashboard?Today is the money collected so far today, Scheduled today counts jobs booked today, In progress now counts every job still in progress, and Done today counts the jobs that were paid today.
- What counts toward Revenue this week and Revenue this month on my dashboard?Both tiles add up the payments you actually collected, from Sunday for the week and from the first of the month for the month, so an invoice nobody has paid adds nothing.
- Why is a job showing under Needs attention on my dashboard?Needs attention lists jobs that still owe you money, either because the payments recorded on them do not cover the job total or because someone set the job to Not paid.
- How does the dashboard decide Top earner and Most jobs?Both boards look at the payments collected since the first of the month and credit each one to the technician assigned to the job, ranking by money for Top earner and by the number of paid jobs for Most jobs.
- How do I see today's jobs for each technician on the map?Open Map, pick Today and All statuses and click Apply, then read the colored ring around each pin, which matches the technician assigned to that job.
- Why is a job not showing on the map?A job shows on the map only when its date falls inside the period you picked, its status matches the status you picked, and the customer's address has been found on the map.
- What do Jobs trend, Job types and Call lines on my dashboard show?Jobs trend counts jobs by the day they are scheduled for, Job types shows your most common jobs over the last 30 days, and Call lines shows the five numbers that got the most incoming calls over the last 14 days.
Customers, messages and calls
Finding a customer, the texting inbox, calls, and booking requests.
- What do I do with a message my Receptionist left in Bookings?Read the card in Bookings, call or text the customer back from it, then press Mark done so the message leaves the list, or Create job if the call turned into work.
- How do I get a request out of Bookings once I've dealt with it?Press Create job to turn the request into a job, Mark done for a Receptionist message you have handled, or Dismiss for spam, a duplicate or a request you turned down, and the card leaves the list.
- A customer says the repair didn't hold. How do I book the return visit from Bookings?Open the Return visit card in Bookings, check the earlier job it links to, then press Create return job to make a new job that is already marked as a return job.
- How do I see which estimates customers haven't answered yet?Open Estimates, pick Sent from the All statuses list and click Apply to see every estimate the customer has not yet approved or declined, newest first.
- How do I find a customer?Open Customers, type part of the customer's name or phone number into the search box and press Apply, then click the customer to open their page.
- What can I see on a customer's page?A customer's page shows their phone and email, the money they have paid you, how many jobs they have had, the date they were added, and every job in their Service history.
- How do I see and reply to texts from my customers?Open Messages, click the customer's conversation, type your reply in the box at the bottom and press Enter, and the text goes out to that customer.
- What does the red number next to Messages mean?The red number on Messages counts the conversations where a customer has texted and nobody on your team has opened the conversation since, and it goes down as soon as someone opens them.
- How do I text a customer who has never texted us before?On a computer, open Calls, click Dialer, type the number, press the message button, write your text and click Send, and the new conversation then appears in Messages.
- How do I use quick replies and change what they say?Click a quick reply above the message box to fill in its text, change it if you like and send, and reword them or add your own under Settings → Automations in Quick replies.
- How do I find an old call from a customer?Open Calls and type the caller's name, part of their phone number or a word from the call summary in the search box, and pick the call's month from the list next to it when the call is older.
- How do I see who called when we missed the call?Missed calls are marked in red in Calls, the red number on Calls counts the ones that came in since anyone on your team last opened it, and you call or text the person back from the call itself.
- Which approved estimates still haven't been paid?In Estimates pick Approved from the All statuses list and click Apply, then look for the Unpaid or Partial tag next to each estimate and open the job to collect.
- How do I see how much a customer owes me?A customer's page shows what they have paid, so open their job from Service history and look under the job total for Balance due or Paid in full.
- How do I change a customer's phone number or name?Open any job for that customer, click Customer name, Phone or Email in the Customer section, type the change and press Save, and it updates the customer everywhere.
- How do I create a job from a phone call?Open the call in Calls and press Create job from call, and JobField reads the conversation and opens a new job with the caller's details and the agreed time filled in for you to check and save.
- How do I see which invoices haven't been paid yet?Open Invoices, pick Sent from the All statuses list and click Apply, and you see every invoice that is not yet paid in full, with the amount outstanding shown in red above the list.
- How do I find overdue invoices?The Invoices list does not mark anything as overdue, so pick Sent from the All statuses list and scroll to the bottom, where the unpaid invoices created longest ago sit.
- Can I merge two customers that are the same person?No, JobField cannot merge two customers or move a job from one customer to another, so each copy keeps its own jobs and both stay in your Customers list.
- Can I add a customer without creating a job?Yes, import them from a spreadsheet in Settings under Import data, because there is no button that adds a customer by hand.
