Call routing, ring order and after-hours calls.

The Default flow tab under Settings → Phone & texting decides the ring order for every number without a flow of its own, and its Business hours decide what happens to calls after you close. Outside your hours a caller reaches your Receptionist when it is on and in the flow, and otherwise hears your closed greeting and can leave a message.

Steps

1. On a computer, open Settings → Phone & texting and choose the Default flow tab.
2. Under Business hours, pick your Time zone and set the open hours for each day. Mark a day Closed for a day off.
3. Type a Closed greeting. It is what a caller hears when you are closed and the Receptionist is not answering.
4. To let your Receptionist take late calls instead of voicemail, tick Send late calls to your Receptionist only and set the After time from which calls skip the phones.
5. Press Save business hours.
6. The builder below holds the ring order. Under Add step, add a Phone step for each person in the order they should ring, set Seconds to ring on each, end with Voicemail, and press Save routing.

Good to know

What the caller hears. During open hours the call rings each person in turn. When nobody picks up, the caller hears the voicemail greeting. Outside open hours the phones never ring.

Business hours apply to every number, including numbers on their own flows. A flow cannot have hours of its own, and the seconds you set for each step are approximate.

Until you build anything, calls ring the owner first, then admins, dispatchers and technicians who have a phone saved or In-app calls on, and then go to voicemail.

If the tab shows See plans in place of the builder, the routing steps are paused and kept. Business hours still apply, but the late calls setting does not.
